Service Price List: How to Set Up a Price List to Save Time at Reception

Published

Workshops often face a problem: the receptionist doesn’t know the exact price of a repair. They are forced to either call a technician, distracting them from work, or “guess” and name an approximate price. As a result, the customer is unhappy when the real price turns out to be higher, and the workshop loses money due to calculation errors.

In WorkPan, the price list is not a piece of paper on the wall, but a tool that works automatically. Let’s look at how to set it up.

Why a “Head-Based” Price List is Expensive

When the cost of repair depends on who is standing at reception today, the workshop operates inconsistently. One employee might name an inflated price and lose a customer; another might name an underestimated one, and the workshop will break even.

In WorkPan, the solution is built on two modules: the Services Directory and the “Services in Models” tool.

How the Automatic Price List Works

The point is simple: a service (e.g., “Screen Replacement”) is a general item. But the price for this service can change depending on which device it is performed on.

  1. Creating a service. You create a service in the directory. This is the name that will appear on the receipt.
  2. Linking to a model. Using the “Services in Models” tool, you tell the system: “For this model (iPhone 13 Pro), the ‘Screen Replacement’ service costs this much.”
  3. Reception automation. When the receptionist selects a model in the order creation form, the system itself pulls up only the services you allowed for that model and immediately displays the current price.

Advantages of Such a Structure

  • Reception Speed. The receptionist doesn’t need to remember prices. The system offers a list of work and costs itself.
  • No Errors. The price difference between technicians disappears. The price list is the same for the entire workshop; if you update it in the system, it updates for all employees instantly.
  • Convenient Management. If the purchase price for screens increases, you change it in one place — in the service-to-model link settings. You don’t need to rewrite price lists at every location or fix it in every order separately.

How to Start Implementing

Don’t try to enter all 1000+ services at once. That’s the biggest mistake.

  1. Choose the top 10 services. Screen replacement, battery replacement, cleaning, diagnostics.
  2. Link them to the most frequent models. Make sure the price is visible immediately for most incoming calls.
  3. Gradually expand. Other services can be added as they are requested.

A price list in WorkPan is not just a list of prices. It’s a guarantee that you are not operating at a loss and not losing customers due to confusion in calculations. The more automation at reception, the more time technicians have for repairs, rather than clarifying costs “out of thin air.”
