Integrating WorkPan with Your Website: How to Automate Order Creation

When a customer submits a repair request on your website, they want a response as quickly as possible. If a receptionist is forced to manually transfer data from email or Telegram to the CRM, reaction time increases, and the risk of making a typo grows.

WorkPan has an API that allows you to automate this process: a request sent by a customer through a form on the website can be sent to the system automatically.

How Integration Works

The principle is simple: your website acts as a client that sends a request to WorkPan via a secure connection.

  1. Gaining Access. In the “Modules” section of the WorkPan control panel, you enable the API and generate a personal token. This is a “key” that allows your website to “talk” to the CRM.
  2. Requesting the System. When the form is submitted on the website, your server generates a JSON request to the WorkPan API, transferring customer data and a fault description.
  3. Creating an Order. A new order appears in the system. The receptionist only needs to contact the customer to confirm the details.

What You Can Do via API

Integration via API is not limited only to creating orders. Developers can implement a full-fledged client area on your website:

  • Checking Repair Status. The customer enters their order number on your website, the site makes a request to the /api/order-status/ method, and the customer sees which stage their device is at (“Diagnostics,” “Repair,” “Ready for issuance”).
  • Request History. Using the /api/get-contact-by-id/ or /api/get-order-by-id/ methods, you can show the customer their repair history.
  • Automatic Notifications. The site can retrieve information about order status and send the customer an SMS or email notification without an administrator’s participation.

Technical Side

WorkPan API works over the HTTP protocol (GET/POST methods), and data is returned in JSON format. This is a standard supported by any modern programming language — be it PHP, Python, or Node.js.

Important API rules:

  • Security. Never store the token in plain view on the website’s frontend. Make all requests through your server (backend).
  • Limitations. There is a limit of 8 requests per second. This is quite enough for website forms, but do not use the API for mass data crawling.
  • Documented methods only. Do not try to “guess” endpoints that are not in the documentation. Use only the methods described there.

How to Get Started

If you have an in-house developer or work with an outsourced team:

  1. Give them the link to the API documentation.
  2. Generate a token in the WorkPan control panel.
  3. Set the task: “Make it so that when filling out the ‘Book a repair’ form, the request automatically appears in WorkPan.”

Integrating your website with a CRM is a step toward turning your website from a “business card” into a full-fledged working tool that doesn’t just inform customers, but also takes orders itself, freeing up time for your receptionists.
